Job Description

Executive Secretary/Office Manager

OBJECTIVE

Perform the duties of the Office Manager. Serve as the church contact person to the congregation and visitors. Provide secretarial service for the Pastors of the church. The Executive Secretary/Office Manager is responsible for the output and performance of all office staff with commensurate authority to direct and manage their activities.

PRIMARY DUTIES

1)      Run the church office in an efficient and friendly manner to serve the Pastors, congregation and visitors to the church. Duties shall include but not be limited to the following:

a.       Answer telephone calls and direct messages, emails and faxes

b.      Type letters, bulletins and other routine office communications

c.       Process incoming and outgoing mail daily

d.      Make trips to the post office, supply houses, printers, etc., as necessary without leaving office unstaffed.

e.      Maintain computer files on pertinent records of church business and activities such as baptisms, marriages, weddings, deaths, memorials and membership rolls.

f.        Maintain church mailing list, adding regular visitors, removing those who have moved, transferred or died.

g.       Maintain the Active Membership Directory, keeping all changes of address on a current basis.

h.      Maintain the Master Church Calendar of scheduled events, meetings and locations.

i.         Collect information for The Link. Edit and Print monthly.

j.        Type, print, collate, and assemble the Annual Report

k.       Prepare information sheets, letters of transfer and other records required for new members

l.         Edit and act as signatory of checks.

m.    Collect and acknowledge memorial gifts

 

2)      Supervise the acquisition, maintenance and control of all office equipment, computers, supplies and materials for the church office.

3)      Maintain computer hardware, network, programs and supporting information, and handle acquisition and maintenance of all church computers.

4)      Maintain church telephone system and website.

5)      Coordinate and direct requests to appropriate staff and lay members of the church.

6)      Maintain a strong rapport, spirit of cooperation and collegiality with the congregation and staff to promote church unity and direction.

7)      Coordinate activities for requested use of church facilities including the Fellowship Hall.

8)      Serve as full member of the administrative staff. Duties in this capacity include:

a.       Attend weekly staff meetings.

b.      Assist in coordinating activities and the use of church facilities with other church departments and functions

c.       Lead staff meetings in absence of the Pastor/s

9)      Perform such duties as may be assigned periodically by the Executive Council.

10)   Assist and instruct staff and other church members in the use of church office equipment.

11)   Maintain a positive attitude, neat personal appearance and serve as an example of moral Christian values.

12)   Participate in office staff performance reviews as the performance evaluator.

13)   Provide secretarial support for boards and committees; mailing lists, copies and collating of documents and mailings, word processing assistance for those lacking the capability and other reasonable clerical tasks. This support should be equitably prioritized with other office work load requirements.

 

REPORTING

The Executive Secretary/Office Manager is accountable to and reports to the Head of Staff (Senior Minister).

EDUCATIONAL REQUIREMENTS

High school diploma or equivalent and knowledge of computers (hardware and software) are required.

EXPERIENCE

Secretarial, administrative and communicational skills are required. Computer programming and word processing experience are required

HOURS OF WORK

35 hours per week. Monday-Friday
